WE MIGRATE YOUR DATA TO

CollectiveAccess

Encyclia long served archive services, documentation centres and heritage fonds. Once the publisher stops developing it, the Windows client-server interface starts to age and metadata no longer comes out in the expected standards, it is time to migrate. We pick up your base — fonds, files, items, media, vocabularies — and install a platform that is web-based, open source and aligned with EAD/Dublin Core.

With CollectiveAccess, your fonds finally speak the language of documentary standards: EAD for archival description, Dublin Core for harvesting, OAI-PMH for interoperability.

01

A migration guided, never endured.

5 steps · 8 to 16 weeks
STEP 01 · 1 TO 2 WKS

Audit

We study your data: volume, custom fields, hierarchies, linked media, access rights. Delivered as a report and a target mapping.

DELIVERABLES
  • Field inventory
  • Data mapping
  • Migration plan
STEP 02 · 1 TO 3 WKS

Mapping

Design of the target CollectiveAccess structure — projection of your Encyclia model (fonds / files / items) into CA hierarchies aligned with EAD, validated with your archivists.

DELIVERABLES
  • Customised CA profile
  • Reference lists
  • Correspondence tables
STEP 03 · 2 TO 6 WKS

Migration

Extraction from Encyclia (XML/CSV export, database backup, linked media), transformations (hierarchies, archival dates, vocabularies), import into CollectiveAccess with native EAD mapping.

DELIVERABLES
  • Acceptance-ready database
  • Migrated media
  • Quality report
STEP 04 · 2 TO 4 WKS

Acceptance

Cross-checks: your reference users validate the migrated records, we adjust, we document. Iterations on a pre-production environment.

DELIVERABLES
  • Test plan
  • Issue tracking
  • Acceptance report
STEP 05 · 1 WK

Training & switch-over

Team training on their own migrated database. Switch to production, support during the first days, managed hosting included.

DELIVERABLES
  • Training sessions
  • Production rollout
  • 30-day follow-up

02

Eleven concrete reasons to migrate.

Encyclia → CollectiveAccess
AXIS
ENCYCLIA
COLLECTIVEACCESS
Business model
Proprietary software — licence + annual maintenance, dependence on the publisher
Open source — no licence, no seat to provision
Concurrent access
Windows client-server — installed workstation by workstation
Web platform — unlimited concurrent access from any browser
Data model
Frozen documentary schema — closed fonds/files/items hierarchies
Open relational model (MySQL), 14 record types, native hierarchies
Metadata standards
Internal fields — partial EAD export, no native Dublin Core
Native mappings: Dublin Core, EAD, VRA Core, MARC, PBCore, muséesDeFrance profile
Remote access
Windows thick client — VPN required to access from outside the building
Modern web application, accessible from any browser
Public website
No public front — manual exports to a separate site
Pawtucket included — faceted public site, ready to theme
API / interoperability
No documented API — manual CSV exports
Open REST API + OAI-PMH, RDF, Linked Data, Z39.50
HD multimedia / 3D / audio
Local storage tied to the workstation — practical limits on HD and 3D
HD, RAW, video, audio, 3D OBJ, IIIF — embedded viewers
Joconde / muséesDeFrance export
To be re-developed bespoke
Official plugin: inventory, ten-yearly inventory check, deaccessioning
Long-term viability
Dependent on the long-term viability of the Encyclia publisher
Open source — the base runs on standard MySQL, exportable at any time
Sovereignty & hosting
Base on a local workstation — manual backups, risks in case of failure
Hosted in France (OVH Roubaix / Strasbourg), GDPR-native, automated backups

★ Two gains change the game: getting out of the proprietary software and unlimited concurrent access over the web. Everything else — durability, openness, interoperability — flows from there.

— Guarantees
03

Four safety nets.

Included
01 INTEGRITY

Data preserved

No loss. Every Micromusée field finds its equivalent — including hierarchies, controlled vocabularies and media links.

02 ACCEPTANCE

Tested round-trip

Before going live, you work on a copy of your real database, in pre-production. Adjustments are free of charge.

03 SOVEREIGNTY

You stay in control

The server is hosted by us, but the database and the media belong to you. Full export available at any time, in an open format.

04 COST

No hidden licence

Once migrated, no more purchase or extension fees. You pay for hosting and support, that's it.
